FROM IDEA TO PUBLISHED EVENT

A clear path from “what if” to “see you there”.

Prepare the details, request a space and send the event for review. Every step has an owner, a status and a place in the workflow.

  1. 01

    Draft an event

The organizer prepares the details and proposed time.

  2. 02

    Request a space

Submit a request. Pending requests do not reserve rooms.

  3. 03

    Staff review

Authorized staff approve or reject with a clear decision.

  4. 04

    Reserve and publish

Approval creates the confirmed reservation and publishes the event together.

A request is not a reservation. Approval reserves the space and publishes the event together; conflicting confirmed reservations are blocked.

LESS CHASING. MORE CLARITY.

Keep the people and the process in sync.

Organizers, reviewers and administrators share one process. Each organization has its own members, spaces and permissions, so the right people see the right information.

ARQLYN for your university
01

Know where things stand

Draft, pending, approved or rejected: organizers can see their event’s status and the reason for a rejection.

02

Give everyone the right access

Assign organization roles to organizers, students and reviewers. Platform administration stays separate from private tenant content.

03

Keep decisions traceable

Approval decisions and administrative changes retain their history. A change of account or access does not erase the business record.

DESIGNED AROUND YOUR TEAM

Different responsibilities. One shared process.

Students

Find published events available to your organization and see when and where they take place.

Organizers

Prepare drafts, request spaces and follow your event from review to publication.

Staff & approvers

Review authorized requests, record a decision and confirm a room reservation.

University administrators

Manage members, roles, invitations and spaces within your organization.

A FEW THINGS TO KNOW

Clear from the start.

What can I do in ARQLYN today?

Create and edit event drafts, request a room, review submissions, confirm reservations and publish approved events. The calendar offers month, week and day views. Administrators manage organizations, members, roles and spaces.

How do I get access?

Sign in with the account provided by your administrator, or accept a private invitation link. Access is assigned within an organization. Public self-registration is closed.

Can a room be booked twice at the same time?

Pending requests may overlap, but they do not reserve the room. When a reviewer approves a request, ARQLYN checks the confirmed reservations and prevents overlapping bookings for the same space.

Can students register or buy tickets?

Students can discover the published events available to their organization and view their details. Attendance registration, tickets, payments and external calendar sync are not part of the current functionality.
